Privacy Policy

1. Who we are

SalesSharp is run by Outperform Services Ltd ("we", "us", "our"). This policy explains what personal data we collect, why, and what rights you have. For your own account details, we're the data controller. For the customer and contact details you add to SalesSharp, you're the controller and we process them for you.

2. What we collect

  • Account details: your name, business name, email address and password (stored encrypted).
  • Payment details: handled by Stripe. We never see or store your full card number.
  • What you put in: opportunities, customers, contacts, notes, Coach chats, voice notes and WhatsApp messages you send to SalesSharp.
  • Technical data: things like your IP address, browser and login times, which we use to keep SalesSharp secure and working.

3. Why we use it

  • To run your account and provide SalesSharp (our contract with you).
  • To take payments and keep invoices (contract and legal obligation).
  • To send emails you need, like welcome, password reset and billing emails (contract).
  • To answer your help requests and improve SalesSharp, and to keep it secure (our legitimate interests).

We don't send marketing emails without your permission, and we never sell your data.

4. AI

When you use Coach or MessageSharp, the relevant parts of your data are sent to our AI providers (OpenAI and Anthropic) to produce a reply. They process it on our behalf and don't use it to train their models.

5. Who we share it with

Only the providers we need to run SalesSharp, each under a contract that protects your data:

  • OpenAI and Anthropic: AI for Coach and MessageSharp
  • Stripe: payments
  • Twilio: WhatsApp messages
  • Railway: hosting
  • Mailtrap: sending emails

Some of these providers are based in the USA. Where data leaves the UK, it's protected by the UK's approved safeguards, such as the UK-US data bridge or standard contract clauses. We may also share data if the law requires it.

6. How long we keep it

We keep your data while your account is open. If you close your account, email us and we'll delete it within 30 days, except invoices and payment records, which we have to keep for 6 years for tax purposes.

7. Cookies

The app only uses the cookies it needs to work, such as keeping you logged in and protecting forms. We don't use advertising or tracking cookies in the app.

8. Your rights

You can ask us to:

  • give you a copy of your data
  • correct anything that's wrong
  • delete your data
  • stop or limit how we use it, or object to it
  • send your data to you or another provider in a usable format

Just email us and we'll reply within a month. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.

9. Keeping it safe

Data is sent over encrypted connections, passwords are stored encrypted, and each business can only see its own data.

10. Changes

We may update this policy from time to time. We'll email you about any important changes.
